Dear Mr Chan,
I am writing to request for an approval of my suggestion to handle the complaint about new garbage collection system.
1. Unable to get spare key
Our resident has stated that our office was shut so they cannot get a spare key. The cause is that it is public holidays. We are not responsible for giving them the spare key during the public holiday. I suggest that they keep their own spare keys.
2. Risk of lost keys
The resident has said that there is a risk of lost keys because it is easy to access the backstairs from the garbage room. The cause is our design for convenience for resident to get to the garbage room. I recommend to install the CCTV on the back stairs and garbage room.
3. Changes without consultation
She also complained that we have not consult the residents about this scheme. The reason is that we have limited time to introduce the new scheme to the residents. I propose that we should have better time management and prepare the schedule when we introduce a new change in the future.
4.Staff Attitudes
The final complaint is that our staff in the management office is rude and unhelpful. It is because the staff is just a new and inexperienced worker. The suggestion I give is that we should provide better training before they go into work.
In order to show our goodwill, I recommend that we should provide a coupon of our club house to the complainant.
